Siop y Rhos Self Catering Accommodation

Terms and Conditions - 2019

1. Holiday Rental Period

This agreement is made on the basis that the self catering accommodation at Siop y Rhos is to be occupied by the named person(s) identified on the owners booking form only for a holiday for a specified period. It is a contract between the owner of Siop y Rhos Farmhouse and the lead guest (named on the booking application) for an on behalf of all those in the party.

  1. condition of all bookings, regardless of agreements between the booking lead and any external agent(s), and regardless of any monies paid either direct to the owners of Siop y Rhos or any agent(s), the Self Catering Online Booking Form must be completed and submitted. This can be found on our website: www.stayinanglesey.com[1]. Once this has been accepted, the booking will be confirmed in writing (usually by email). Failure to submit a completed booking form within 3 days may result in the booking being cancelled.

All bookings that are cancelled through an external agent because of failure by a guest to complete the owners' online booking form will be treated as a 'client cancellation' - please refer to Section 4 - Cancellation and/or Amendments to Agreed Holiday Letting Periods. In these circumstances the owners of SIop y Rhos will not liable for any costs incurred.

The lead guest must be over 21 years of age; will have responsibility for the property and must have the authority to ensure that all members of the party observe these booking conditions.

Under no circumstances will stag/hen parties and/or similar single sex parties be accepted.

2. Reservation

Once the requested dates are confirmed as being available they will be reserved in the applicant's name for 5 days. If payment as outlined below is not received in that time we regret that the reservation will lapse and will automatically be cancelled.

3. Payments

Bookings more than 8 weeks in advance: A deposit of 50% of the cost of the holiday.

8 weeks before the start date of the holiday rental period: The balance must be paid in full. In certain circumstances the owner may accept the full balance for the holiday on arrival, but cash payments only will be accepted. In the event a guest arrives and is unable to settle the full balance, and/or any additional relevant charges, i.e. security deposit and/or pet payment, in cash, then access to the self catering accommodation will be denied until the full balance in cash is received, and the owner reserves the right to cancel the holiday let without refunding the booking deposit.

Non payment of the balance will entitle the owner to re-let the holiday. As a rule, reminder notices will not be issued.

Security deposit/damage bond: A refundable security deposit/damage bond of £300 is payable on arrival at the self catering accommodation. This payment must be in cash - cheques and cards are not accepted. Section 12 of this policy explains the terms of the security deposit/damage bond.

Pet payment: A one off payment of £20 is applicable per pet per stay - see Section 8 for our policy on pets. This is payable in cash on arrival and is non refundable. Cheques and cards payments are not accepted.

4. Cancellation and/or Amendments to Agreed Holiday Letting Periods

In the case of all cancellations the following will apply:

  1. A 25% refund of any monies paid (minus admin fees and/or agents fees) if they cancel from the date of the booking being accepted and up to 12 weeks before the start of the holiday- unless the owner is able to secure another booking of equal value to the original booking cost, in which case 50% of any monies paid (minus booking fees and admin charges) will be refunded, or
  2. A 10% refund of any monies paid (minus admin fees and/or agents fees) if they cancel in the time period between 4 to 12 weeks before the start date of the holiday - unless the owner is able to secure another booking, in which case a 50% of any monies paid (minus booking fees and admin charges) will be refunded, or
  3. No refund is given if the holiday is cancelled within 4 weeks of the start date of the holiday – unless the owner is able to secure another booking, in which case a 25% of any of monies paid (minus booking fees and admin charges) will be refunded.

In the event of a guest wishing to amend the dates of their agreed holiday rental the following will apply:

  1. wishing to extend their stay for longer than the agreed holiday letting period will only be allowed to do so if the property is available, and with prior written confirmation by the owners. Additional dates will incur additional fees, e.g. tariff charged per extra day, admin/agents fees, etc.

Once holiday letting periods have been agreed and booked, any request to amend the agreed holiday rental dates to a shorter holiday rental period will be treated as a cancellation of their booking agreement. Guests will have the option to:

  1. cancel the full holiday letting period, and rebooking for the shorter time period required. Please note: (a) holiday tariffs may be amended by the owners at any given time, and any agreements to rebook your holiday period will be charged at the higher rate; (b) the owners reserve the right not to accept a re-booking, or
  2. cancel the agreed booking holiday rental period which will be subject to the cancellation policy as defined under Section 4 of this policy.

5. Outside Gardens

Guests are provided with their own private large and fully secure rear garden, which is south facing and enjoys the sun all day. This garden has its own patio area and garden seating with picnic benches. The rear garden is completely private and not overlooked and is accessed from either the front lounge French windows, or through the kitchen door.

Use of the front formal gardens of the Farmhouse is for the private use of the owners and/or their visiting family/friends only, and as such are not included in the self catering accommodation - we would ask that you respect our privacy.

6. No Smoking Policy

The owners operate a strict no smoking policy which includes the use of E-cigarettes within the house. Guests may smoke in the rear garden only and agreed to remove all subsequent waste material safely and in appropriate waste bins. Guests who ignore this policy will be asked to leave without exception and without any refund.

7. Permitted Guests and/or Visitors

  1. The number of guests permitted to stay in the farmhouse and enjoy the use of its grounds, shall not exceed those named person(s) on the booking form, and only those guests named on the booking form will be permitted to enjoy the facilities of the farmhouse during the booking period. For the purposes of Health & Safety and Insurance Liability, additional visitors to the self catering are expressly forbidden (unless permitted under Section 7(b) below) from the self catering rental accommodation and/or the external grounds of Siop y Rhos.

The owners’ insurance liability does not cover for any person not named on the booking form. If this policy is ignored all guests will be asked to leave with immediate effect, and without exception, and will not be entitled to a refund.

b) Day Visitors

Day visitors to the rental property will be at the discretion of the owners, and only if written permission is given. Day visitors may only be permitted between the hours of 11am and 9pm, and will incur a £60 charge per visitor. The named booking lead will be fully responsible for any permitted day visitors. Day visitors may be asked to leave without notice should they breach any terms or conditions in this policy. The owners reserve the right to terminate any day visitors pass without notice or refund should they feel this necessary.

8. Pets

A maximum of 2 small well behaved dogs are permitted at any one time. For the purpose of this policy a small dog is defined as usually being less than 25 lbs in weight but for the avoidance of all doubt please refer to the Kennel Club definition regarding your breed of dog. For those dogs of undefined breed it should measure no taller than 2ft at its tallest point. Without exception any dog which falls outside of these categories will not be permitted into the self catering accommodation. Please note in any circumstance where there is any doubt you must apply in writing to the owners and received written confirmation that your pet will be acceptable.

The owners have 2 dogs of their own which have never been in any of the bedrooms, and are not permitted on any furniture, nor upstairs in the property.

When the property is not used for self catering purposes, it is used as a 5* B&B which does not permit pets. For this reason guests are not permitted to allow their pets entry into any of the bedrooms, or onto the first floor. Also pets are not permitted on any furniture, and without exception must not be left unattended in the house at any time.

Any pet which is found to be aggressive, or causing a nuisance, e.g. excessive barking, etc, will be required to be removed from the property and grounds of Siop y Rhos.

For the avoidance of all doubt, the owners reserve the right to refuse any pet entry into the self catering accommodation. At no time may a pet be kept outside the self catering accommodation, or on the grounds of Siop y Rhos.

Guests are asked to remember that Siop y Rhos is a smallholding, and therefore dogs must kept on a short lead at all times, with the exception of the private rear garden which is at the guests disposal.

All evidence of dog hairs must be removed prior to guests vacating the holiday rental. In the event that extra cleaning of the property is required this will be deducted from the security deposit.

The law requires all dog owners to clear up their own pets fouling, therefore all evidence of dog fouling must be removed and cleaned prior to guests vacating the holiday rental. In the event that dog fouling has not fully been cleared then a minimum charge of £50 will be deducted from the security deposit. Guests who ignore this policy will be asked to leave without exception and will not be entitled to any refund.

9. Times and Duration of Letting

Letting periods commence at 3.30pm on the day of arrival to 10.30am on the day of departure (unless prior arrangement has been agreed in writing with the owner).

It is important that these times are adhered to so that the accommodation can be properly prepared for you and subsequent guests.

In the event the property is not vacated at the required time, a cost of £50 for the first 30 minutes will be deducted from the security deposit, and a further £50 per each 30 minutes thereafter. This payment is to cover extra staff required to prepare the property in time for newly arriving guests.

All keys are to be returned directly to the owner prior to vacating the property. Any keys that are not returned will incur a £100 fee per key.

10. Welcome Pack

This Welcome Pack is provided in the property with important information about the property and local services. Guests are asked to let the owner know if they are unable to find the Welcome Pack.

11. Guests' obligations

The Guests agree to:

a. take good care of the self catering accommodation during occupation maintaining all furniture, fixtures, fittings and effects in the same state of repair as at the commencement of the holiday;

b. use the self catering accommodation and its contents in a safe and appropriate manner;

c. keep the self catering accommodation secure and locked, ensuring all windows and doors are locked whenever the property is left unoccupied and comply with security and safety precautions;

d. ensure that all outside lights are extinguished before 11.00pm;

e. not to use the self catering accommodation or any part of it for any of the following, nor allow anyone else to do so: activities which are dangerous, offensive, noxious, noisome, illegal or immoral, or which are or may become a nuisance or annoyance to the owner, or to the owner or occupier of any neighbouring property, or to the occupiers in the adjacent self catering and B&B accommodation;

f. not to act in any way which will or may result in the insurance of the ‘self catering accommodation being void or voidable, or in the premium for the insurance being increased, nor allow anyone else to do so;

g. leave the self catering accommodation in the same state of cleanliness and general order in which it was found; (an additional cost will otherwise be incurred to cover the extra cleaning)

h. report any damage or breakage immediately to the owner;

i. pay the costs arising from any breakages, damage to furniture or fittings, removal of any items from the self catering accommodation, damage to the exterior of the property including any damage to the owners and/or neighbours’ properties;

j. not to make any noise which is audible from outside between 11pm and 7am; and to refrain from excessive noise inside the property after 11pm which may cause disturbance to the owners of the adjacent property and/or B&B accommodation;

k. place refuse, surplus food and unwanted articles in bin liners inserted in the waste bins provided and, if full, to dispose of the contents of the bins in the refuse container outside of the property, adhering to the recycling requirements of Anglesey County Council, and to replace disposed of bin liners with the replacements provided;

l. not drop any litter in the driveway, gardens, paths, paddock or parking areas;

m. use only the designated parking space(s);

n. not to put any materials down the toilets/sinks/showers/drains which may block the waste pipes and drains – drainage is via a septic tank, baby wipes, sanitary products, and anything other than toilet roll will cause a blockage which is extremely costly to have treated; in the event the drainage from the property is found to blocked by guests failing to respect the waste disposal will be liable for all costs in repairing/rectifying the blockage;

o. not to tamper with the electrical, gas, water or sewage services, pipes or equipment.

12. Damages and Breakages

The £300 security deposit/damage bond will be refunded in full by the owner - within 14 days of the end of the letting period - providing an inspection of the property reveals all to be in good order. Should this not be the case, the cost of any damages or breakages will be paid for from this bond and the remainder refunded. Any damages incurring costs over and above the £300 damage bond will be invoiced separately, with payment required immediately by return.

13. Reasonable Access

The owner and/or their representative retain the right to enter the property at any time.

14. Problems or Complaints

In the event of there being any problems or deficiencies with the accommodation or contents the matter should be reported to the owner at once. Prompt notification by guests is required to enable remedial action to be taken. No complaints will be accepted or correspondence entered into where complaints are made at the end of a holiday rental period.

15. Liability

The owner cannot accept any liability for:

a. any injury sustained by any person or animal;

b. loss of, or damage, to any property brought onto the premises;

c. cars, which are parked at owner’s risk

d. noise, nuisance or disturbance resulting from building works, noisy neighbours or local events etc.;

e. disruption of service from utility suppliers

f. closure of shops or any amenities described in the property details.

16. Breaking the Terms and Conditions

The owner reserves the right to terminate the holiday rental period, without refund, if there shall be a breach of any of these conditions. This is without prejudice to any of the other rights and remedies available to the owner.

17. Non Availability of Property

In the event of the property becoming unavailable (e.g. through fire, serious injury/illness, natural disaster, etc.,) the holiday rental period is automatically cancelled or ended and the owner will refund all monies paid, or if the holiday letting period has commenced, proportionately any part of the rental for any period for which the property cannot be used. In no event shall the liability of the owner to guests exceed the holiday rental paid for the property.
